South Side Presbyterian Church is hiring a part-time administrative assistant. We hope you'll consider joining our team!
RESPONSIBILITIES
· Get mail from mailbox twice a week and sort (bill, offerings, bank and payroll information to the Treasurer, other mail to appropriate or designated individuals)
· Check phone messages and relay messages to appropriate church person (update voicemail recording when directed)
· Type and update all church materials as directed (including session minutes, congregational meeting minutes, annual reports, letters, agendas, membership list, labels, mailing lists, newsletter, worship service bulletin, posters for events, etc.)
· Copy materials regularly or as directed by supervisor and assemble materials as instructed (annual reports, stationery, envelopes, worship bulletins, newsletter, etc.)
· Notify designated church members when office supplies need to be purchased, including postage stamps, paper, tape, file folders, envelopes, etc.
· Mail newsletter (bulk mail) at main post office
· Maintain the copier (clean exterior occasionally and keep sticked with paper). Call RTR about problems and arrange for service. Replace the toner cartridge when needed and contact RTR to order a new one.
· Post worship times, event posters, and other information as directed on exterior signboards and interior bulletin board
· Maintain office files; create new files as necessary
· Prepare the offering envelope boxes and order new ones (label boxes, update member numbers, etc.)
· Keep record of building user payments and let user contact person know if they are behind on “rent”
· Other responsibilities as determined and requested by supervisor
KNOWLEDGE/SKILLS/ABILITIES REQUIRE
· Ability to greet and welcome people effectively in person and by phone
· Trustworthy individual with an open, pleasant personality
· Ability to organize and manage office responsibilities effectively
· Good typing and proofreading skills
· Computer experience with knowledge of Word, Excel, Clip Art, and layout ability for bulletins, posters, and newsletter a plus
· Ability to operate and maintain copier, computer, telephone answering machine, etc.
· Basic understanding of why a church exists, its programs, and its goals
WAGES AND WORKING HOURS
An hourly rate will be agreed upon and reviewed annually for adequacy.
Approximately five hours of work per week at the beginning, but individuals should be flexible as hours may increase or decrease
weekly based on the amount of work to be completed in any week. The preferred hours would be worked split between two weekdays (perhaps Tuesday and Friday) but could be flexible.
A time sheet will be filled out weekly and the monthly total tabulated at the end of the Friday before the last Sunday of each month. The supervisor will receive the time sheet and inform the Treasurer of the paycheck amount.
A monthly check will be issued on the last Sunday of each month.
